This pack contains all the practical information you need to ensure our partnership runs smoothly.
Contact Information & Hours
Working Hours: Monday to Friday (excluding Bank Holidays). During school holidays, working hours may be altered, I will notify you of any changes in advance.
Response Times: I aim to respond to all email enquiries within 24-48 hours during the working week.
Managing Your Appointments
If you have booked a clarity call, parent consultation or an advocacy session via Calendly, you are in control of your schedule.
Rescheduling: You can amend or reschedule your appointment directly through the link in your Calendly confirmation email.
Cancellation Policy: Please remember that I require at least 48 hours’ notice for a full refund or a free reschedule. Cancellations made between 24 and 48 hours will receive a refund of 50% of their fee, and those made with less than 24 hours’ notice are non-refundable.
If the Company must cancel a session due to illness or unforeseen circumstances, the Client will be offered a full refund or a priority reschedule date.
My current fees are available on my website and also through the Calendly booking process.
Voxer Support: How it Works
Voxer support is designed to provide you with a flexible space to process thoughts and ask questions as they arise or when you have time.
Getting Started: Once you have purchased your Voxer support package, I will email you within 48 hours to confirm the date you would like your support period to begin.
Download the app: If you haven’t already, download the Voxer app, create a free account and then add me (emma_kindofextraordinary)
Leaving Messages: You are welcome to leave voice notes or text messages whenever you need to, I know that neurodivergent parenting doesn't always happen between 9 and 5 and that finding a time for a meeting can be really tricky.
Response Times: I review and respond to Voxer messages in the afternoons and evenings, Monday to Friday.
Weekends: I do not check Voxer on Saturdays or Sundays. If you leave a message over the weekend, I will check back in with you from Monday afternoon.
Online Meeting Procedure
I use Google Meet to conduct online meetings. To ensure our time together is focused entirely on connection and listening rather than note-taking, I use integrated AI during our sessions to create an accurate transcript.
The Purpose: This allows me to be fully present with you. I use the transcript as a reference to ensure no detail of your child’s unique needs is missed when I am creating your follow-up plan.
Your Consent: If you would prefer that I do not use AI transcription during our meeting, please let me know at the start of our call (or via email beforehand) and I will happily switch it off.
Privacy: Transcripts are handled securely in line with my Privacy Policy and are used solely for the purpose of your support.
Within 24–48 Hours of Meeting: You will receive your bespoke Follow-up Plan via email. This will summarise our discussion, key advocacy points, and any practical tools or resources we identified.
A Note on Our Partnership
My goal is to provide support that feels sustainable. I provide the tools and the professional insight (grounded in my AutPlay, SEND, Child and Adolescent Mental Health, Parent Support, and Educational Advocacy background), but you remain the expert in your child.
Our sessions and messages are a confidential space for us to collaborate, solve problems, and ensure your child’s strengths are at the heart of their support plan. Information on how safeguarding is managed can be found [here]
Part of my role may be to ask clarifying questions or challenge your perspective. I will always do this with compassion and will only ever seek to support your goals for understanding, supporting and advocating for your child. However I’m only human, so should I say, or do, anything that upsets you, please raise this with me either in the session or by contacting me afterwards.
To ensure our time together is as valuable as possible, openness, transparency, honesty and trust are essential.
